Nothing goes to families until you send it. Every hand-out and return for an athlete piles up into one email, and you send them when you’re ready.
That gives you time to fix a wrong-athlete tap on issue day before a family ever sees a cost.
Video: Sending family emails and handling “I returned this”. Also: What families see.
Who gets them
Emails go to the athlete’s family contacts (up to 3 per athlete). No contacts, no email. To add them, see Set Up GearCorral.
Families don’t need an account. GearCorral has no family login at all. Everything in the email works from a link.
When something is ready
- A Family emails link with a count (3 ready) shows up in the menu.
- The Dashboard says how many receipts and return notices are ready to send. Tap Review and send.
Review and send
The Family emails page has one row per athlete:
- What’s in it: how many handed out, returned and still out.
- Who it goes to, or “No email on file” with a link to add one.
- Preview shows the actual email.
- Don’t send clears a row you don’t want to go out. Cleared ones are kept for your records.
Everything with an address is ticked. Untick what you want to hold, then tap Send. Filter by kind, date, email on file, or name first if you only want some.
Unsent emails never expire. They wait until you send or clear them.
Siblings: if two athletes share a parent’s email, that parent gets one email with a section for each.
The Sent tab shows the last 60 days: who, what, when and to which addresses.
What families get
- After a hand-out: a receipt listing each item, its replacement cost and due date, with an Acknowledge button so the family can confirm they got it.
- After a return: what came back, and anything still out.
- Both since the last email: one update with Handed out, Returned and Still out sections.
An item handed out and returned before you sent anything (a mis-scan) drops out. A size swap shows only the final item.
Every email also has:
- Your return instructions (set in Settings). Where and when to bring gear back.
- An I returned something link if anything is still out. See Check Gear Back In on Return Day.
- A link to stop gear emails. It stops gear email from your team only.
Reminders for overdue gear
Reminders go out the same way, by hand. Start from Still out > Email reminders. See Chase Overdue Gear and Close Out the Season.
Daily limit
All family gear email (receipts, return notices and reminders) shares a daily limit. It’s 200 by default; change it in Settings. The send page shows how many you have left today.
