If you’re ordering a DTF sheet from a transfer shop, order extra labels at the same time. When new jerseys show up in March, the label is already in the drawer.

For which label type to use and how to put labels on, see How should I put QR labels on uniforms and gear?
Print spare labels
A spare label is a QR code, its 7-character code, and your team name. No item, no size. You decide what it goes on later.
Go to Inventory > Print labels, then either:
- Spare labels only: type how many. The limit per print run is 500 by default; change it in Settings.
- Fill the rest with spares: pick your items as usual and tick the box. Spares fill the empty spots:
- Avery and iron-on: to the end of the last sheet.
- DTF: to the end of the last row, or to a sheet length you pick. Transfer shops sell gang sheets by length, so you’re not paying for empty film. Edit the list of lengths in Settings.
The Print labels page shows how many spares you have unused.
Manage spares
Inventory > Spare labels lists every print run with how many were printed, used and unused.
- Download again: reprint a run’s unused labels.
- Void unused: lost the sheet? Void its labels so they can’t be put on gear. You can restore one later.
- Move unused to another team: for coaches with more than one team.
Put a spare on new gear
Fastest way: scan the spare with your phone’s camera while signed in.
- The Spare label page opens. It lists items that don’t have a label yet.
- Tap the item, like Jersey #31 M. Done.
- Or tap Add a new item with this label to create the item right there.
Adding several new items at once? On Add items, open Spare labels (optional) and scan or type one spare code per item. The count has to match the quantity.
Replace a worn label
Open the item (scan it, or find it in Inventory) and tap Replace label:
- Print this label again: same code, fresh print. Best for a label that’s just faded.
- Use a spare label: scan or type the spare’s code and confirm.
Either way the item keeps its full history, and the old code still finds it. The change shows on the item’s history.
If a label is completely gone and you need to check the item in, use Can’t scan? in the scanner. See Check Gear Back In on Return Day.
Good to know
- Only coaches can attach, replace or void labels. Volunteer links can’t.
- A code is never reused, even after it’s voided or replaced.
- If someone finds gear wearing an unused spare and scans it, they see your team name and return instructions.
