Check Gear Back In on Return Day

Help
Returns and size swaps · 2:48

Return day is the same scanner, pointed the other way. Scan everything as it comes back, then tap Finish.

Video: Returns and size swaps. Also: Looking up and fixing an item.

Scan it in

  1. Tap Scan and pick the Return tab.
  2. Scan each label as it comes back. You don’t need to pick the athlete first.
  3. Tap Finish.

Each return adds to that athlete’s return notice on the Family emails page. Nothing is sent until you send it. See Send Family Gear Emails.

A volunteer link with Return turned on works the same way on a parent’s phone. See Hand Out Gear on Issue Day.

You can also check one item in from its page in Inventory: tap Check in.

Label won’t scan

Under the camera on the Return tab, open Can’t scan?

  1. Pick the type, then the number and size.
  2. Tap Find.
  3. Each match shows who has it, or that it’s on the shelf or lost.
  4. Tap Check in on the right one. For an item marked lost, it’s Found it.

Unnumbered shorts? You’ll see every pair in that size with who has each, so you check in the right family’s.

The label also has the 7-character code printed next to the QR. You can type it in the box under the camera.

To fix a worn label for next time, see Spare Labels and Replacing a Worn Label.

Move an item to another athlete

Singlet #12 went home with the wrong kid? You don’t need to check it in first. Open the item in Inventory and tap Reassign. Type the new athlete’s name, pick them, and confirm. To hand it to a coach or a location, use the Use the scanner link on that screen. See Hand out one item without the scanner.

“I returned this”

Every family email that lists gear still out has an I returned something link. The family ticks what they dropped off and types their name. No account needed.

On Still out you’ll see:

  • Claimed returned with the date and name: the family says it’s back, you haven’t scanned it yet.
  • Claimed, not received: you’ve had a return day since the claim (gear back from 3 or more athletes on a later day) and this one still hasn’t turned up. A straggler or two scanned the next morning doesn’t count.

Use the Claims filter on Still out to see just those.

When you check a claimed item in, the claim clears on its own. If a claim is wrong, open the item and tap Dismiss claim.

Reminders skip claimed items. Once a claim is “not received”, reminders include it again and ask the family to check.

Stragglers

Whatever didn’t come back stays on Still out. Filter it, email reminders, and mark lost what’s gone. See Chase Overdue Gear and Close Out the Season.
